Checking Resource Load

Overview

This tool displays the workload (planned effort, actual effort) of members across projects and organizations.
It is useful in the following cases, as it allows you to check the workload of resources (assigned personnel):

  • Check the workload status of members to whom you want to assign work in the future.
  • Check if there are any members with high workloads.

The following points are explained regarding resource workload.

  1. Display Planned Load
  2. Display Actual Load

You can specify the resources to display.

This function is not available in Standard Edition.
Permissions are required to display resource load.
  • Depending on the login user's permissions, the resource load screen may not be displayed.
  • The range of data displayed on the screen can also be set by the system administrator.

You can specify the resources to display.

Common Procedure

Follow the following steps to display the resource load screen.

  1. Click "Analysis" in the global navigation.

  2. Click "Resource Load" in the local navigation.

Setting Users

You can set the users to be displayed on the resource load screen as a view, and display only the users you want to check.

  • In addition to setting the users to be displayed individually, you can also set them collectively by specifying an organization or project.
  • Multiple views can be created to match the unit you want to check, such as by organization or project, and can be easily switched between.

Operating Procedure

  1. Click the "Add View" icon on the toolbar on the left side of the screen.

  2. In the "Basic Information" tab of the "Resource Load View Settings" dialog, enter a "Name".

  3. Click the "Target Data" tab in the "Resource Load View Settings" dialog.

  4. Select the target of the filter (user, organization, project) from the list.

  5. Add the target users, etc., using the "Add" icon.

  6. Click the "OK" button.

  7. Select the view you created.

Points to note when selecting "Organization" in step 4

If the organization to which the target user belongs changes within the aggregation period, it will be aggregated as separate organizations from the day the organization was changed.
If it does not match the planned effort, please refer to the total value of the organization before and after the change.

Grouping Views

Created views can be grouped by management units such as type.
Grouping makes it easier to find the target view.

Operation Procedure

  1. Click the "Add Group" icon on the toolbar on the left side of the screen.

  2. Enter a name for the newly added group.

Adding a View

You can add a new view by selecting the added group.
You can move existing views to the group by dragging and dropping them.

Displaying Planned Load

You can check the planned load for each resource.

  • The planned load is displayed by accumulating the daily effort by dividing the planned effort by the period for each end task to which that person is assigned as a resource.
  • By displaying the planned effort of resources in a list, you can use it to adjust the plan as follows:
    • Distribute the work of resources with high loads
    • Assign work to the idle time of resources

Notes

  • Please note the following, as this aggregates the planned effort of end items (items without child items).
    • Directly entering the planned effort of the parent item will not result in aggregation.
    • If you set planned effort for both the parent and child items, the total planned effort value on the work item screen may differ from the value shown.
  • Resource assignment for items can be done by "directly assigning a user" or "assigning a group," but if you assign a group to a resource, the planned effort set for the group will not be aggregated. When using this function, please assign individual users directly to resources.

Operating Procedure

  1. Open the target project.

  2. Click the "Resource Load" icon in the local navigation.

  3. Click the "Planned Load" icon .

  4. Specify the following display conditions.
    : Aggregation Period
    : Unit of Effort Display
    : Display Range (Details below)

Aggregation Results

If you select "Aggregate by Project," it will be displayed as follows:

The procedure for displaying projects is as follows:
: Click "Aggregate by Project."
: Click the ">" icon to the left of each resource.

Displaying Actual Load

You can check the actual load (actual man-hours) of each member.
By displaying the actual man-hours of resources in a list, you can easily understand the current situation, such as identifying members with high loads.

Furthermore, the actual load can be visually confirmed by color.

Operating Procedure

  1. Follow steps 1-2 of "Displaying Planned Load".
  2. Click the "Actual Load" icon .
  3. Follow step 4 of "Displaying Planned Load".

Similar to planned load, you can display aggregated values ​​for each project by clicking the "Aggregate by Project" icon.

To color-code the actual load, perform the following steps:

  1. Click the "Resource Load Display Settings" icon .


  2. Specify in the "Resource Load Display Settings" dialog.
